Google Adds Gemini “Gems” to Docs, Gmail, Sheets & More in Workspace Update

Google is taking productivity and AI-powered assistance to the next level by integrating its customizable Gemini chatbots, known as “Gems,” directly into Google Docs, Sheets, Slides, Drive, and Gmail for Workspace users. This update allows users to access specialised AI assistants without needing to switch to the standalone Gemini app.

The rollout began on July 2nd, with full availability expected within 15 days for eligible Google Workspace users.

What Are Gemini Gems?

Gems are task-specific, customizable versions of Google’s Gemini AI assistant. These tailored chatbots can be designed to handle repetitive or nuanced tasks — such as copywriting, data analysis, sales enablement, or exam prep — using contextual inputs, file uploads, and task-specific instructions.

Previously, Gems were only accessible via the Gemini app. With this update, you can now open them within Workspace side panels for quicker, more context-aware interactions.

 What Can You Do With Gemini Gems in Workspace?

Here are a few practical examples of how Workspace users can use Gems:

  • Copywriting Gem: Create social media posts, emails, and branded content tailored to your business tone, pre-loaded into the Gem.
  • Sales Interaction Gem: Customise AI support using prospect or industry-specific information to prep for pitches or client meetings.
  • Internal Comms Gem: Summarise meetings, generate internal emails, or prep content aligned with your role or department needs.
  • Persona-Testing Gem: Use AI to stress-test your content as if it were reviewed by a CEO or executive, to refine messaging for stakeholders.

Gems support @-mentions, file or folder access, and contextual awareness, which makes them feel deeply integrated into your existing workflow.

 How to Create and Use Gemini Gems

While you can’t create Gems directly in Docs, Gmail, or Sheets, you can easily do so by:

 Who Gets Access?

This feature is available to Google Workspace users with Gemini access. However, Google notes the update may take more than 15 days to fully roll out across all accounts.
